What's in Setup
Setup is where setup administrators configure the workspace: the lists everything else draws from, your organization structure, accounting setup, users and access, and work and automations. Open Setup from the bottom of the sidebar. Its pages are grouped into Lists, Organization, Accounting, Platform, and Work & Automation.
What you can open in Setup depends on your roles. Most pages need Setup access; Users, User Groups, and Roles check their own permissions instead, and Single Sign-On needs single sign-on management rights.
Lists
Lists hold the shared values leases draw from, such as discount rates and indices. Each list page works the same way: create, edit, and delete its records.
Page | What it manages | How you configure it |
|---|---|---|
Asset Class Groups | Groupings of leased asset classes. | Create a group with a name and add its asset classes, each with a name and code. You manage a group's classes on the group's own page. |
Discount Rates | Discount-rate curves used when leases are measured. | Add a rate with a name, type, currency, tenors in years, source, effective date, and optional end date. Built-in system rates can't be edited or deleted. |
Exchange Rates | Currency-pair rates that convert foreign-currency lease amounts. | Add a pair with a base and target currency (they must differ), a frequency calendar, and whether it's active. Publisher, publisher ID, URL, and note are optional. |
Indices | Published indices and their period values, which drive index-linked rent adjustments. | Add an index with its jurisdiction (a country or country group), type, base period, publisher, status, value type, and frequency calendar. On the index's values tab, add values one at a time or import them from a CSV. System indices are read-only. |
Obligation Types | Lease payment categories and their default lease/non-lease split. | Add a type with a name. When your workspace has policy election sets, set the component and allocation for each standard. |
Premises Categories | Categories that describe leased premises. | Add a category with a name. |
Clause Types | Types of lease clause and what is recorded about them. | Add a type with a name, how it's tracked, and whether it's a key clause. |
Guarantee Types | Types of guarantee that can secure a lease. | Add a type with a name. |
Organization
Organization holds your corporate structure and the registry it lives in: legal entities, the agreements between them, and the hierarchies that file records and place people.
Page | What it manages | How you configure it |
|---|---|---|
Hierarchies | Organizational, financial-reporting, or ERP structures that file records and place users and groups. | Create a hierarchy with a name, type, owner, and status; ERP hierarchies also pick the ERP. Then add levels, build the node tree, and set record types and placements. |
Legal Entities | Companies in the shared registry connected to your business. | Start from the Organization registry search, then fill in the legal and display name, legal form, market status, country and date of establishment, functional currency, and NAICS code. Manage addresses, identifiers, and affiliations on the entity's page, and propose a merge when two entries are one company. |
Agreements | Agreements between legal entities that are not leases, such as franchise or guaranty agreements. | Record the type, name, reference number, status, subject, and dates. Add each party with its role, and grant rights to their holders. |
Reporting Entities | The accounting units leases are accounted under. | Create one with a name, market status, fiscal calendar, functional currency, chart of accounts mapping, and accounting standards; each standard gets its own policy elections. You can replicate, archive, and unarchive entities. |
Contributions | Suggestions other workspaces made to records your workspace governs. | Review each pending contribution and accept it or reject it, optionally with a reason. |
Data Health | Outstanding data checks for leases, premises, legal entities, and members. | Work through the checks by tab. Each check offers its own action, such as Fix, Review, Confirm, Verify Address, Add Domain, or Dismiss. |
Accounting
Accounting holds the policy and ledger choices behind lease measurement. For how these choices fit the bigger picture, see How Lease Accounting Works.
Page | What it manages | How you configure it |
|---|---|---|
Policy Election Sets | The accounting policy choices for each standard. | A wizard collects the accounting standard, functional currency, name, adoption date, transactional currencies, and policy elections by asset class. Sets start as drafts: edit the draft, and published sets open as view only. Replicate a set to start from a copy. |
Charts of Accounts | General-ledger account lists used to map lease activity to ledger accounts. | Create a chart with a name and effective date, then add GL accounts with a number and name. An account can be deleted only when nothing references it. |
GL Coding Templates | Patterns that assemble GL coding strings from lease, account, and hierarchy fields. | Give the template a name, effective date, and pattern. A live preview and token guide show what the pattern produces as you type. |
Platform
Platform holds the fields, people, and permissions the workspace runs on.
Page | What it manages | How you configure it |
|---|---|---|
Custom Fields | Extra fields on leases and other supported record types. | Add a field with a label, key, and data type, then set its format, choices, decimal places, which record types it appears on, and whether it's required. You can reorder fields in the list. |
User Groups | Named sets of users that share hierarchy placements. | Create a group with a name and description, optionally place it on hierarchy nodes with a role, and add or remove members. |
Roles | Permission bundles granted to people or groups. | Create a role with a name and description and tick the permissions it allows. Replicate an existing role to start from a copy. |
Users | The workspace roster and the roles its members hold. | Invite members with an email and role, optionally with additional roles, hierarchy placements, and user groups. To invite many at once, upload a CSV bulk invite. |
Single Sign-On | Identity-provider sign-in for your organization. | Open the page and hand off to WorkOS for your IT admin to configure the sign-in flows. |
Work & Automation
Work & Automation configures how follow-up work is routed and automated. For how the pieces fit together, see Work and Automations overview.
Page | What it manages | How you configure it |
|---|---|---|
Work Queues | Shared inboxes that route incoming work to the right team. | Create a queue with a name and description, then add members. The Work entry in the navigation opens this same list. |
Work Flows | Reusable stage pipelines for work items. | Create a flow with a name and description, then add stages. Each stage has a name, instructions, assignee, approval and optional-stage settings, SLA and escalation, and a checklist. Stages can be reordered. |
Automations | Automations that run from a trigger and take steps. | Configure a name, status, trigger type and its settings, and the steps to run. Start from a template, reorder steps, run eligible automations on demand, and generate webhook URLs. |
Run History | What each Automation did: its triggers, outcomes, and failures. | Read-only. Filter runs by status and trigger type. |
Pending Actions | Changes held by automations, and the outcomes of ones already settled. | Read-only. Filter by status. |
