Classify GL Accounts and Review Mapping Warnings
Every GL account in a chart of accounts needs a type: Asset, Liability, Equity, Revenue, or Expense. The type shows as a badge in the accounts list, which you can also filter by type. When you import account mappings, LeaseOS warns you about accounts whose type may not fit the role they are mapped to and about accounts shared between operating and finance leases. These warnings ask you to review the assignment; they never reject a mapping row.
Choose a type for each account
Set the type when you add an account to a chart, or edit it later. Pick the type that matches how the account behaves in your ledger:
Type | Covers |
|---|---|
Asset | What your organization owns or is owed, such as cash, receivables, inventory, and right-of-use assets. |
Liability | What your organization owes, such as payables, credit cards, and lease liabilities. |
Equity | The owners' stake, such as retained earnings or owner's equity. |
Revenue | Income your organization earns, including sales and other income. |
Expense | Costs your organization incurs, such as rent, direct costs, and depreciation. |
Open Setup from the bottom of the sidebar and open Charts of Accounts under Accounting.
Open a chart of accounts and go to its GL Accounts tab.
Add or edit an account: give it a number, a name, and its type.
Use the type filter above the accounts table to review all accounts of one type and confirm each is classified the way you intend.
Import accounts with recognized type names
The Import accounts action on the GL Accounts tab recognizes each type's own name plus common names used by QuickBooks, NetSuite, Xero, and Sage Intacct. Matching ignores upper and lower case and extra spaces, so Fixed Assets and fixed assets both import as Asset.
Type | Recognized names |
|---|---|
Asset | assets, bank, cash, current asset(s), other current asset(s), fixed asset(s), non-current asset(s), noncurrent asset, long term asset, other asset(s), accounts receivable, accounts receivable (a/r), deferred expense, inventory, prepayment, unbilled receivable |
Liability | liabilities, current liability/liabilities, other current liability/liabilities, long term liability/liabilities, long-term liability, non-current liability/liabilities, noncurrent liability, accounts payable, accounts payable (a/p), credit card, deferred revenue, liability - current, liability - non-current |
Equity | owner's equity, owners equity, shareholders equity, retained earnings, capital |
Revenue | income, other income, sales, operating revenue, other revenue |
Expense | expenses, cost of goods sold, cogs, cost of sales, direct costs, other expense, operating expense, overhead, depreciation |
On the GL Accounts tab, click Import accounts.
Give your CSV the required
number,name, andtypecolumns.In the
typecolumn, use a type name from the table above.Upload the file and check the report. Rows with a blank or unrecognized type are rejected: the report shows each rejected row's line number, the value it read, and the accepted types, so you can fix those rows and upload them again.
Recognized rows import normally. The import adds new account numbers and updates matching accounts, including their name and type, and never deletes accounts.
Review mapping import warnings
Importing mappings checks each row against the type of the account it points to and raises two kinds of warnings. Both are flags to review, not errors: the rows are still applied.
A type that may not fit its role. Some mapping roles usually post to a particular account type: liability roles expect a Liability account, right-of-use asset roles expect an Asset account, expense roles expect an Expense account, and profit-and-loss roles expect a Revenue or Expense account. When the mapped account's type is not among them, the warning names the row, the role, the account, its type, and the type the role usually posts to. Roles for payments, clearing, and miscellaneous entries accept any account type and never raise this warning.
An account shared between operating and finance leases. For the right-of-use asset and lease liability roles, the import compares the ASC 842 operating and finance mappings. When both use the same account, the warning says that account holds both operating and finance amounts and that ASC 842 presents them apart, so you can either give each its own account or disclose which line holds each.
Open the chart of accounts mapping create or edit page.
Click Import mappings to fill the mapping form from your file.
Read each warning and decide: change the account's type, point the mapping at a different account, or confirm the assignment is intentional as it stands.
Save the mapping to keep the imported rows.
Mapping warnings never stop a row from being imported. Only the GL account import itself rejects rows, such as a row with a blank or unrecognized type, and it reports each rejection with its line number and reason.
