Get Started with LeaseOS
LeaseOS is where your team manages leases and runs lease accounting from one shared record. It covers real estate and equipment leases for tenants: organizations that lease space and equipment across many locations, such as franchise systems, multi-location operators, and the finance teams behind them. When a lease changes, the accounting follows the change, so lease administration and lease accounting stay connected instead of living in two systems.
Who on your team uses LeaseOS
Access is role-based, so different people see different parts of the app. Most teams fill four roles:
Lease administrators abstract and maintain leases. They track critical dates, options, insurance, and contacts, and they work assigned tasks.
Lease accountants set up accounting, measure leases under each accounting standard, work revisions, review journal entries, run the month-end period close, and produce disclosures.
Setup administrators configure the workspace: users, roles, groups, single sign-on, charts of accounts, reporting entities, lists, custom fields, and automations.
Executives and viewers read dashboards, the portfolio overview, and reports, or ask questions through a connected AI assistant.
Each member also picks a dashboard focus, Lease Administrator or Lease Accountant, and their dashboard is built from that choice; members who pick neither keep a simpler dashboard. See Use your dashboard for what each layout shows.
Each user sets their own language, date format, and number format. The app is available in English and French.
How a lease moves through LeaseOS
A lease travels through seven stages, and each stage depends on the one before it. A lease cannot be measured until it is published, and its journal entries do not post until a period closing.
Create. Upload the lease as a document and the AI reads it into a draft for a person to review, or enter the lease by hand. Jurisdiction-aware templates can also start a lease, and the lease's governing law decides which templates are offered.
Draft and publish. Leases are edited as drafts and published when they are correct. An automation can hold a publish for approval before it takes effect.
Administer. Critical dates, options, payments, insurance, deposits, guarantees, and contacts all derive from the published lease, so administration works from one source of truth.
Account. A lease gets a book for each accounting standard it is reported under. Establishing the book records the accounting judgments: classification, discount rate, lease and non-lease components, and initial direct costs. Measuring the book produces the lease liability, the right-of-use (ROU) asset, and the schedules.
Change. When a published lease changes in a way that affects accounting, the change becomes a revision: a correction, a modification, a reassessment, or an asset change. Revisions are triaged, remeasured, and settled.
Post and close. Accounting activity becomes journal entries, coded through the chart of accounts. Entries post in reviewed batches during the month-end period closing, and then the period locks.
Report. Disclosures, roll-forwards, and the portfolio overview report by reporting entity, period, and standard.
Key terms you will meet
These six terms carry most of the app's vocabulary. Knowing them makes every article and screen easier to follow.
Term | What it means |
|---|---|
Draft and published | A draft is an unpublished edit. Published is the version of a lease in force. |
Premises | A leased location. One premises can have several leases over time. |
Book | A lease's accounting under one standard. One lease can have a book under more than one standard. |
Revision | A change to a lease's accounting after it was measured. |
Critical date | A deadline or milestone derived from the lease, such as an expiration or a renewal notice window. |
Period closing | The month-end review that posts journal entries in reviewed batches and locks the period. |
Where to go next
When you need help while working in the app, open Help & Documentation from the user menu: this help center opens in a new tab. The fastest path from here is to bring in your first leases and see the flow above happen with your own portfolio. Start with Upload your first leases to let the AI read your lease documents into drafts, or with Create a lease to enter one by hand. From there, follow the walkthrough in this collection: View a lease's information, then Publishing your first measurement, then Closing your books.
