Create and Connect Organizations and People
Organizations and People are shared registry records for everyone your leases involve: landlords, guarantors, franchise affiliates, management companies, and other contacts. Add them from the Organizations and People entries in the sidebar. Search before you create: when the record already exists, you connect to it instead of adding a duplicate. For where the registry sits among Setup's pages, see What's in Setup.
Creating records needs manage permissions granted through your roles: managing organizations for New organization and managing people for New person. Viewing each list needs the matching view permission. See Built-In Roles.
Add an Organization
Use New organization on the Organizations list. The slide-over has three steps: Organization, Relationship, and Contacts.
Organization step
Click New organization.
In the Search by name or website field, type the organization's name or website. Select a result to work with that existing record, or continue to create a new one. A website-style search term can also prefill the Website field of the new form.
Fill in the required fields: Legal Name, Website, and Address. Website accepts a URL, an email address, or a bare domain and normalizes it to the organization's registrable domain.
If the organization has neither a website nor a company email domain, check This organization has no website instead of entering one. This clears the Website field.
Fill in the optional fields you need: Display Name, Legal Form (choices include Corporation, LLC, LLP, LP, Sole Proprietorship, Partnership, GmbH, Ltd, AG, SA, BV, NV, PLC, Trust, and Non-Profit), and Identifier Type with Identifier. When you enter an identifier, Issuing Country appears and is required.
If the website's domain already belongs to registry entries, the form lists them under Already in the Registry for that domain. Select one to connect to it, or choose None of these — add a new Organization on this domain to create a separate record.
Submit. When you selected an existing organization on the domain, the submit button reads Connect and connects that record; nothing is merged.
LeaseOS rejects a website domain it cannot identify an organization by, such as a shared email provider's domain.
Relationship step
How You Relate is required and defaults to Under an Agreement. The alternative is By Ownership.
Under an Agreement: choose Their Role and Your Role, then either use an agreement on record (offered when your workspace's anchor organization has agreements) or Write a New Agreement. A new agreement needs an Agreement Type (Franchise, Service, Guaranty, Management, Referral, NDA, or Purchase), an Agreement Name, and a Status (Draft, Active, Ended, or Terminated; Active is the default). Premises Covered, Rights You Hold (Receive Report or Inspect), Ends, and Notes are optional.
By Ownership: Which Way defaults to You Own Them (the other option is They Own You). Ownership is required, defaults to 100%, and accepts 0.01–100. Effective is required and defaults to today.
Contacts step
Add people affiliated with the organization here. Creating a person in this step needs the manage-people permission; see Add a Person below.
Add a Person
Use New person on the People list. The slide-over has two steps: Person and Where They Work.
Click New person.
In the Search by name or email field, type the person's name or email. Select a result to work with that existing person, or continue to create a new one.
Fill in the required fields: Display Name and Email. Prefix, Given Name, Middle Name, Family Name, Suffix, and Phone are optional.
In Where They Work, choose the organization the person works for. This picker selects an existing organization and does not create one.
Set an optional Title. Since is required and defaults to today. Turn on Primary Contact if this person is the organization's primary contact.
Submit.
Connect a Person to an Organization
Affiliations record where a person works. Add one outside the create flows from either record's page:
From an organization's page: Contacts → Add contact.
From a person's page: Organizations → Add to organization.
Both paths take an optional Title.
How Duplicates Are Handled
The registry catches duplicates in two ways, and neither merges records automatically.
Email or identifier already on file. Creating is refused, the existing record is selected instead, and a notification titled Already on File confirms nothing was created.
Matching name. A Possible Duplicate dialog asks what to do. Add anyway creates a separate record and may submit a merge proposal for review. Use this when the two records really are different people or companies.
Connect Records to a Lease
Lease records draw on the registry rather than duplicating it. For the lease sections themselves, see Create a Lease and View a Lease's Information.
Parties are entered in the lease contract's Parties editor: Lessees and Lessors, or Sublessees and Sublessors on a sublease. The party picker selects or adds an organization. Additional parties take a role of Attorney, Management Company, Property Manager, or Other. Party fields include Name (as stated on the lease), Address (as stated on the lease), and Legal Notices Recipient. Signatories are people affiliated with the party's organization.
Guarantors are recorded under Risk Controls → Guarantees. Guarantor Is offers Organization or Person and searches the matching registry.
The lease's Contacts page is a read-only roster assembled from the lease's parties and related records, with Parties, Agreements, and Ownership tabs.
