Record a Non-Lease Agreement
An agreement records an instrument between legal entities that is not a lease: a franchise, service, guaranty, management, referral, NDA, or purchase agreement. Agreements live in Setup, in the Organization group; create one with New agreement on the Agreements list. For where Agreements sits among Setup's pages, see What's in Setup.
You can also start an agreement while connecting an organization: choose Under an Agreement in the relationship step and then Write a New Agreement. See Create and Connect Organizations and People.
Create an Agreement
The create form has two sections, Agreement and Period.
Click New agreement on the Agreements list.
In Agreement, choose the Type: Franchise, Service, Guaranty, Management, Referral, NDA, or Purchase.
Enter the Name. Reference Number is optional.
Set the Status. It defaults to Draft; the statuses are Draft, Active, Ended, and Terminated.
Choose the Subject.
In Period, enter the Effective Date, which is required. End Date is optional and must be on or after the effective date.
Save the agreement.
An agreement without an end date displays as Open-ended.
Subject
Subject defaults to Nothing in Particular. Choose A Lease, A Premises, or An Organization when the agreement attaches to one of those records.
A subject of A Lease selects one lease, and that lease may contain multiple premises. A party's coverage can be narrowed to a premises inside the subject with that party's Premises scope.
The form does not support a list of multiple lease subjects on one agreement.
Add Parties
Each party is a legal entity, so create the organizations you need in the registry first: see Create and Connect Organizations and People.
Each party you record has:
a Role, which is required
an effective date
an optional end date
a Primary flag
Grant Rights Under the Agreement
Each right names a holder from the agreement's parties and the right they hold, effective from a date you set.
Each right has:
a Holder, which is required and chosen from the agreement's parties
a Right, which is required: Use, Renew, Purchase, Terminate, Exclusivity, Step-In, Receive Report, or Inspect
an effective date
an optional end date
Receive Report and Inspect disclose the leases the agreement's subject reaches. They are not offered when the agreement has no subject.
The Agreements List
The Agreements list groups records by Type, sorts them by effective date, and shows name, reference, status, party count, and effective and end dates, with Type and Status filters.
The list is scoped: you see agreements your workspace is bound by or holds a right under.
Notes are available on the create form and on the agreement's page.
When an agreement's subject is a lease, the lease's Contacts page includes an Agreements tab among its Parties, Agreements, and Ownership tabs; see View a Lease's Information.
