Set the Parties
You record the lease's parties on the lease's Parties page: who the lease is between, any additional parties, and, when you track them, the signatories. Parties come from your shared Organizations and People registry. Choosing a party connects your lease to a registry organization, and adding a new one from the picker creates a registry record you can look up on future leases (see Create and Connect Organizations and People).
Parties are entered on a contract editing page, so you need an editable draft: edit an unpublished lease directly, or open a pending draft on a published lease with Start amendment or correction (see Correct or Amend a Lease). The page cannot be opened while AI is still reading a lease document into the draft, and the form is disabled while you hold no editing session and the concurrent editor sessions are full. Your edits have no effect on critical dates, payments, or accounting until the draft is published (see Create a lease).
Choose the lease type
The lease type decides which principal-party groups the page offers. Choose Lease or Sublease: on a Lease, the principal parties are Lessees and Lessors; on a Sublease, they are Sublessees and Sublessors.
Add a principal party
Add each side of the lease with its group's action: Add Lessee or Add Lessor on a lease, Add Sublessee or Add Sublessor on a sublease.
Click the add action for the party's side of the lease, such as Add Lessee.
In the Lessee Party picker (or Lessor Party, or the sublease equivalents), choose the organization that fills this role. See Pick from the registry or add a new organization below for how this picker works.
Choose the party's type: Tenant, Subsidiary, or Partner.
Enter Name (as stated on the lease), Address (as stated on the lease), and Legal Notices Recipient.
Adding a new organization from the party picker creates a record in the shared Organizations registry, so the next lease with the same landlord, tenant, or affiliate finds it by search. Selecting an existing organization connects the lease to that record instead of duplicating it.
Pick from the registry or add a new organization
The party picker searches the Organizations registry. Search before you create: selecting an existing organization stores the lease-specific name and address values on the lease without duplicating the registry record.
Type the organization's name in the picker and select a result to connect that registry record.
If the organization is not in the registry, use the create option, which reads Add "[entered name]" as a new Organization.
Fill in the New Organization form: Legal Name, Website, Address, Display Name, Legal Form, and Identifier Type with Identifier (Issuing Country appears when applicable).
Submit with Add to registry. The organization becomes a registry record available for future lookup, and the lease carries the name and address you entered here.
For the registry's duplicate checks, relationships, and full field descriptions, see Create and Connect Organizations and People.
Add additional parties
The Additional Parties area records everyone on the lease who is not a principal party, such as an attorney or the property manager.
Click Add Party.
Choose the party's role: Attorney, Management Company, Property Manager, or Other. Choosing Other reveals Role Name, which you add with Add Role.
Choose Represents: Lessor, Lessee, Both, or Neither. On a sublease, the first two choices read Sublessor and Sublessee.
Choose the Party, then enter Name (as stated on the lease), Address (as stated on the lease), and Legal Notices Recipient.
Enter signatory details
Signatories are optional. Turn on Do you wish to enter signatory details? and the Signatories area appears with Add Signatory and Edit Signatory.
Turn on Do you wish to enter signatory details?.
Click Add Signatory.
In Person, search the people at this party. The picker is scoped to people affiliated with that party's organization; see Create and Connect Organizations and People for adding people and their affiliations.
Enter the Date Signed.
While signatory tracking is on, Last Signed Date is derived from the most recent signatory date.
Once the lease is published, the lease's Contacts page assembles these parties into a read-only roster; see Create and Connect Organizations and People for how it draws on the registry.
