Set Up Risk Controls
You record the lease's residual value guarantee, security deposit, guarantees, late fees, and insurance coverage on the lease's Risk Controls page. The page has five sections in this order: Residual Value Guarantee, Security Deposit, Guarantees, Late Fees, and Insurance Coverage, and each section starts with a yes-or-no question about whether the lease contains that item.
You can edit Risk Controls on any lease you can edit: a draft you are building (see Create a lease) or a published lease you have opened for a correction or amendment (see Correct or Amend a Lease). The page cannot be opened while AI is still reading a lease document into the draft, and the form is disabled while you hold no editing session and the concurrent editor sessions are full. Saving a draft has no effect on critical dates, payments, or accounting until it is published.
Residual Value Guarantee
Both fields sit directly on the page; there is no separate list of entries to add.
Turn on Does the lease contain a residual value guarantee?
Choose the Residual Value Guarantee Type. Fixed is the only choice.
Enter the Residual Value Guarantee Amount.
Security Deposit
Returned Within records how long the lessor has to return the deposit once the lease ends, and it defaults to Month.
Turn on Does the lease contain a security deposit?
Enter the Security Deposit Amount. It is required.
Set Returned Within to Day, Week, or Month. This field is optional.
Guarantees
The Guarantor Is picker draws on the shared Organizations and People registry, so the guarantor you record here is a registry record; see Create and Connect Organizations and People.
Turn on Is the lease secured by any guarantees?
Click Add Guarantee. The Add Guarantee slide-over opens.
Choose the Guarantee Type from the searchable picker. To add a type that is not listed, choose New guarantee type, which opens Create Guarantee Type with a required Name field.
Choose Guarantor Is: Organization or Person, then pick the Guarantor.
Enter the Amount, Start Date, End Date, and Notes. The Start Date anchors to Lease Commencement or Rent Commencement, and the End Date anchors to Lease Expiration or Lease Expiration Including All Options.
Click Add.
Late Fees
The Flat Amount and Percent fields appear based on the Late Fee Type you choose.
Turn on Does the lease contain late fees?
Set the Grace Period.
Choose the Late Fee Type: Flat, Percent, Flat Plus Percent, Lesser Of, or Greater Of.
Enter the Flat Amount and/or Percent the type asks for.
Insurance Coverage
Insurance Coverage Maintainer is required and records who maintains the coverage: Lessor or Lessee.
Turn on Does the lease contain insurance coverage?
Choose the Insurance Coverage Maintainer.
Click Add Insurance Coverage. The slide-over opens.
Enter the Start Date and End Date. Both are required, and they use the same date anchors as guarantees.
Enter any of the optional coverage amounts: Occurrence, Aggregate, Workers Compensation, and Umbrella Coverage.
Click Add.
Track certificates of insurance
Recording coverage on the Risk Controls page is separate from tracking the certificates themselves. Certificate tracking lives on the lease's Transactions page and needs a published lease and transaction permission.
Open the published lease and go to Transactions, then the Overview area's Certificates of Insurance section.
Click Log certificate, or click Record Certificate on a coverage row to open the same form with that coverage selected.
In Record a Certificate of Insurance, enter the Date Received, Certificate Effective Date, and Certificate Expiration Date, attach the Certificate of Insurance file, and add an optional Note (Optional).
Click Save.
The Date Received must be on or after the lease agreement date, when the lease has one, and not after today. The overview lists each coverage's Coverage, Status, Received, Expires, and Actions, with statuses of Not Received, Expired, and Received. When some coverages are omitted from the overview list, View certificate history opens the filtered All Transactions view. See Record Lease Transactions for more on the Transactions page.
